5 restaurant invoice tools compared: features, pricing and fit
By MenuLedger5 min read
Compare MarginEdge, MarketMan, MenuLedger, Restaurant365 and xtraCHEF by Toast by workflow, published pricing and questions to ask before buying.
Choose by the work your invoices need to do
Restaurant invoice tools can help with records, accounting, ingredient costs or stock control. The useful choice depends on which of those jobs you need to finish, and what your team already uses.
Disclosure: we build MenuLedger, one of the products below. This comparison uses official vendor pages checked on September 8, 2026, plus MenuLedger’s published plans and current product. We have not run comparative hands-on trials of the other tools. Tools are listed alphabetically; fit assessments are our interpretation of their documented scope.
Prices are shown as advertised. Confirm currency, locations, invoice volume, setup, integrations, billing term and tax with each vendor before buying. Package details and prices can change.

MarginEdge: a broader invoice-led back office
MarginEdge combines invoice processing with recipe costing, accounting integrations, inventory and ordering. Its published price is $350 per location per month, with unlimited invoice processing. The pricing page also lists bill payments for US restaurants.
Our fit assessment: worth considering when invoices need to feed several back-office tasks and you want that wider workflow in one product.
Check before buying: onboarding packages and Toast integration fees can affect the full cost. Annual billing offers a 10% discount with a 12-month commitment, so compare contract terms as well as the headline monthly price. See MarginEdge’s pricing and inclusions.
MarketMan: invoices alongside stock and purchasing
MarketMan’s Starter plan advertises real-time recipe costing, waste management and 50 AI invoice scans per month at $249 monthly. Growth is listed at $299 monthly and includes unlimited invoice scanning and smart ordering.
Our fit assessment: a candidate when the people receiving deliveries also maintain inventory and purchasing, and want invoices connected to that work.
Check before buying: ask how the quote covers multiple locations, what counts as a scan, and which integrations or email-capture features need a higher plan or add-on. The headline pricing does not establish all of those terms. See MarketMan’s current plans.
MenuLedger: reviewed invoices to dish costs
MenuLedger extracts supplier invoices for review, matches purchase lines to ingredients and recalculates recipe costs after confirmation. Ingredient prices keep their purchase history, and dishes can be checked against a workspace food-cost goal.
Our fit assessment: designed for an independent restaurant or café whose main task is understanding ingredient and dish costs. It requires review before an extracted invoice changes costs.
Check before buying: MenuLedger does not provide supplier bill payments, bookkeeping or stock counts. Published launch pricing is $20/month for Starter and $40/month for Pro; launch pricing may change. The trial includes three invoice reads. See MenuLedger’s plans and limits and confirm the amount shown at checkout.
Restaurant365: accounting and operations together
Restaurant365 covers restaurant accounting and operations, with accounts payable, document management and financial reporting in its plan comparison. Its inventory product also describes invoice capture and recipe costs that follow vendor price changes.
Our fit assessment: relevant when your invoice project is part of a wider accounting and operations setup.
Check before buying: establish which modules your quote includes and who will own the accounting setup and training. The official pricing page invites a custom quote.
xtraCHEF by Toast: costs connected to the Toast workflow
xtraCHEF describes invoice line-item extraction, coded invoice data sent to accounting, recipe costing and inventory management within the Toast product suite. That makes it a relevant option to investigate if Toast is already part of your operation. See Toast’s xtraCHEF product page.
Check before buying: Toast states that xtraCHEF is available only in the US. Its support guide associates food-cost reporting and analytics with xtraCHEF Pro, so confirm the tier and accounting connection your quote covers. See Toast’s availability and setup guidance.
The reviewed product page does not publish a numerical xtraCHEF subscription price. Contact Toast for a quote for your existing or proposed setup.
Test the shortlist with your own workflow
Choose two candidates whose scope matches your need, then give each the same representative invoice set. Check package interpretation, correction controls, source-document access and the time staff spend completing the task.
Use our restaurant invoice software buying checklist to structure that trial. If you are still working out the costing side, start with the recipe cost per serving guide and free food cost calculator.
